Personal Assistant to Director
Job Overview
We are seeking a highly organised, mature, and professional Personal Assistant (PA) to provide executive support to the Director. The ideal candidate will have excellent communication skills, a calm and composed manner, and the ability to manage competing priorities in a fast-paced environment. This role is ideal for someone with strong administrative experience, emotional intelligence, and a heart for service.
Key Responsibilities:
Executive Support
Manage the Director’s inbox: monitor, flag urgent items, and draft replies
Maintain the Director’s diary: schedule meetings, calls, and travel arrangements
Attend meetings as required, take minutes and follow up on actions
Prepare briefing documents and presentations for speaking engagements and events
Maintain confidentiality and discretion at all times
Front-of-House & Communication
Act as the first point of contact for visitors, clients, and partners
Answer and direct telephone calls professionally and efficiently
Greet clients and guests in a warm and professional manner
Manage the reception area, meeting rooms, and office supplies
Office & Project Support
Support with planning events, conferences, and retreats
Assist with filing, record keeping, and compliance admin (physical and digital)
Liaise with team members across different departments for smooth coordination
Provide support with document formatting, proofreading, and printing
Support with social media scheduling and basic content posting (desirable)
Multi-tasking & Prioritisation
Handle multiple tasks simultaneously while maintaining high attention to detail
Manage last-minute changes and unexpected issues calmly and resourcefully
Prioritise tasks to ensure urgent matters are always addressed promptly
Person Specification
Essential
Proven experience as a PA, senior administrator, or similar role
Excellent verbal and written communication skills
Highly organised with excellent time management abilities
Strong IT skills: Outlook, Word, Excel, Zoom/Teams, and document systems
Ability to remain calm under pressure and respond flexibly to changing priorities
Maturity, professionalism, and emotional intelligence
A commitment to confidentiality and integrity
Desirable
Experience in a charity, social enterprise, or legal/healthcare setting
Knowledge of safeguarding or GDPR requirements
Interest in community development or supporting vulnerable groups
Driver’s licence and own transport
